Troy Community Center - Facility
How are groups reserving rooms classified for billing purposes?
There are two general classifications used to determine the rental rate for groups who wish to reserve meeting rooms in the Community Center.
Troy Business/Resident:
A 10% discount on the room reservation fee applies to any business located within the Troy city limits or Troy resident applying for a reservation.
Non-Profit Resident Group:
Any reservation made by a resident who is the individual contact for a non-profit tax exempt corporation (must supply a 501 (C) tax exempt certificate) will receive a 50% discount. These resident non-profit groups are permitted to use listed AV equipment for no charge, however, must pay for services such as a direct internet connection, phone line connection, copies and linen.
When reserving a room, does the set up and take down time need to be included in the time requested for the room reservation?
Because there is a high demand for space in the Community Center, reservation requests must include the time the group needs for any special set up or take down tasks and it will be billed the same as the quoted hourly room rate. A group would not need to account for the time needed by the facility to set up the tables and chairs, but would need to include the time the first person needs to get into the room and the last person leaves at the conclusion of the event.
What is the policy for food being served at an event in the Community Center?
Groups have the ability to order food or beverages through the "preferred" caterer (ENCORE! Catering, 248.770.5756), select a caterer of their own choice or carry in food on their own. If the "preferred" caterer is selected, the group will receive a 35% discount on the room rental rate if certain conditions are met. Additional charges apply for outside caterers or food carried in. The kitchen facility is only available for the "preferred" caterer.
How far in advance can a room be reserved?
Reservations for one-time special events can be made 18 months in advance. The reservation process for all other regular meetings runs for a calendar year, September 1 to August 31. Groups that have met in the facility on a regular basis during the year will be given priority to reschedule their reservations for the upcoming year during the month of May.
What are the operating hours of the meeting rooms in the Community Center?
The meeting rooms can be reserved at regular rental prices during the following times:
Monday-Friday: 8 am-8 pm
Saturday: 8:30 am - 12:30 pm
The facility is available to rent before and after normal business hours but an additional hourly rate of $15 will be added to the regular hourly rate for extra staff deemed necessary to supervise the event.
How can a room be reserved in the Community Center?
1. Submit a room reservation form with the $30 room deposit ($60 for Banquet Room 304 and 305) to the Parks and Recreation Department at least two weeks in advance (one month in advance for after hour rentals). Telephone reservations are not accepted but questions regarding availability can be determined by calling 248.524.3484.
2. The reservation form will be processed within 24 hours during normal business days and a confirmation will be emailed or mailed to the contact person.
3. If a room is not available at the time specified, the contact person will be notified and asked for an alternative date.
4. An event coordinator will make contact approximately one week prior to the meeting to coordinate set up needs and the method for final payment.
What are my responsibilities in terms of room cleanup?
The clean up period should be included in the rental time and include restoring the room to its original condition. This entails removing all decorations, trash, food and debris from the room or placing them in the supplied trash receptacles. Facility staff will vacuum the carpet and wipe down the tables. Charges related to cleaning, carpet spills or damages to the room or grounds will be charged to the rental representative. Staff is available to inspect the room after the event if you have any questions.
What fees are associated with renting a room?
The fees associated with renting a room are listed hourly and vary based on the size of the room and residency status of the group/business. There are also charges for renting audio visual equipment, staffing and serving food at events. Refer to the Room Rental Information form and Food Policy for more information.
Can I tour the facility to view the rooms?
The Community Center is open seven days a week and patrons can visit the facility to view the rooms at any time. To ensure the room is available for viewing, please stop by the Administrative Desk or call 248.524.3484 for an appointment. Visit here to view pictures of the facility: Room Map
Does the Community Center supply table linens?
The Community Center does supply table linens. Please contact the Community Center for pricing.
Can I advertise my events at the Community Center?
The Community Center allows groups who rent the meeting rooms to post a flyer on the kiosk near the Main Entrance. The flyer should be given to staff for posting. Room signs will be prepared and posted outside of the room on the day of the event. There are three electronic boards at each of the entrances that will list the daily events and room assignments. Temporary directional signs may be posted outside the facility according to the Troy Sign Ordinance. Due to the number of other events in the facility that take place simultaneously, free standing signs are not permitted inside the Community Center.
Will someone be available to assist with audio visual equipment issues?
Community Center staff will set up the audio visual equipment that is requested but the group is responsible for knowing how to operate the equipment. If a group wants to test the equipment in advance, please speak with your event planner to make arrangements. The Community Center rents a wide variety of equipment including computer projectors, microphones and television/dvd/vcr units but does not have laptops available. Refer to the Room Rental Information for the rental prices.

No, we do not offer before and after care. Our class length is 2 1/2 hours. Children should be dropped off and picked up promptly. Late fees will be imposed for consistent tardiness in pick ups.
What is your discipline policy?
Children will be prevented from harming themselves, other children, adults and equipment. This will be done in the most positive manner possible and in such a way as the help children develop self-control, self-direction and self-esteem. The instructors use what we call R & R method: remove the child from the undesirable situation and redirect the child's attention. Occasionally, the "time out" method will be used after the instructors have spoken to the child several times. Parental involvement is used if needed.
Does my child need to bring a snack?
Rainbow Preschool provides the daily snack unless it is a special holiday party day. A child is welcome to celebrate his/her birthday with the children in his/her class by providing the snack for that day. Parents are instructed that Rainbow Preschool is a peanut-free environment and any snack with peanuts or traces of peanuts will be sent home.
If my child needs to withdraw from class, can we get a refund?
This policy only pertains to our 34 week Rainbow Preschool program participants. If a parent decides to withdraw a child from Preschool we will be using this policy:
- Prior to school starting: 100% refund minus $10 service charge
- 1 day - 2 weeks of classes: 75% of fees minus $10 service charge will be refunded
- 3 - 34 weeks of classes: There will be no refunds granted after 2 weeks of classes
A $10 service fee applies to all refunds and transfers. It takes approximately 3 weeks to process a refund and they are returned in the form of a check to the participant's home address.
